1 / Preparation of the transport plan
Ahead of the event, an initial analysis is performed using the data transmitted by the customer.
Transport’s lines have been established from the pick-up cities to the place of the event. This phase must meet two criteria both economic and quality: a journey time as short as possible and a fill rate of the bus as close to 100%.
2 / Transcription of the transport plan
Each line is transcribed on our business software. Internally, a database containing all the information necessary for chartering buses (dates, times, cities, addresses, staff, capacity) is being developed. This daily management tool allows us to have a vision of the transport plan at the instant T, and of the status of current « bus » reservations.
3 / Buses charter
The chartering of vehicles within the RÉUNIR network is carried out according to the specifications defined by the customer. Shareholders of our network are then called upon to make the transfers, depending on the geographical locations and the available rolling stock of each.
4 / Preparation of departures and arrivals
Departures and arrivals from the event venue are crucial steps for the success of the event. Before D-Day, the Saybus team plan several complete tracing of the event area and the routes to be carried out. When necessary Saybus coordinates departures and arrivals with the competent institutional authorities, so that transport operations take place in complete safety. It is also during these stages that the Saybus team prepare the reception of the driving staff and in particular their accommodation and catering.
5 / Preparation of transfer days
Before each transport date, Saybus prepares and sends a « driver file » for each transfer.
The day before departures, all contact details for drivers and relay points if necessary, are sent to customers. This step allows us to check both the correct programming of vehicles and crews, and compliance with transport regulations.
6 / Transport days
A hotline dedicated to the operation is in place. We are reachable 24 hours a day both for the customer, and for shareholders / driving staff, in order to manage unforeseen events and remedy any failure as quickly as possible.
Saybus teams are present at the meeting place. Its role is to regulate the arrival of buses, organize the parking of vehicles, supervise and inform the driving staff and keep the customer informed in real time of the progress of operations.
